AI & AUTOMATION

How to choose your first marketing automation workflow

The most useful first automation is usually a small, repetitive process with a clear owner. Start where the team can describe what a correct result looks like and recognise when the workflow has failed.

Choose a process you understand

List recurring tasks and estimate how often they happen, how long they take and what goes wrong. Routing an enquiry to the right person may be a more suitable first project than an autonomous system that writes and publishes campaigns. A process with inconsistent inputs and unclear decisions needs clarification before automation.

Decide whether AI is needed

A rule can often move structured data or assign a task predictably. AI assistance may be useful for interpreting unstructured notes or preparing a draft summary, but its output needs evaluation. Choose the simplest approach that solves the problem. A more complicated model or tool stack is not evidence of a better workflow.

Define the boundaries before connecting accounts

Document the trigger, allowed inputs, expected output and destination. Name the person responsible for reviewing exceptions. Decide whether the system can save a draft, create an internal task or send something externally. These are different levels of authority. For a first reporting-summary workflow, keeping the result as a reviewable draft is a sensible boundary.

Plan for missing data and retries

Consider what happens if an account connection expires, an input is incomplete or the same event arrives twice. The workflow should make failures visible and avoid creating duplicate actions. Provide a way to pause it and a manual fallback. Test with representative non-sensitive examples before giving it access to live customer processes.

Measure the whole cost of running it

Compare time saved with time spent checking, correcting and maintaining the workflow. Include platform subscriptions and review effort in that assessment. A useful pilot may improve reliability more than speed, or reveal that the process needs redesign. Expand only after the owner can explain the result, identify problems and recover without depending on hidden knowledge.

Put this into practice
